Q.1: Define the term “Word Processing”?

Answer:

The process of creating text documents is called word processing. It consists of creating and formatting text and adding graphical images in the document. Word processing is one of the most widely used applications on computers. It is estimated that more than 90% of the computers have a word processor installed on them.

 

Q.2: What is Word Processor?

Answer:

Word processor is an application program that is used to create and format text-based documents. It provides features to add images, audio, video, charts, and graphics in text documents.

 

Q.3: What is a text editor? Describe its basic functions.

Answer:

A word processor that is used for creating simple text documents is called a text editor. Windows operating system provides two text editors. These are WordPad and Notepad.

 

Q.4: What are the basic features of a word processor?

Answer:

The following are the basic features of a word processor:

  • Insert Text
  • Delete Text
  • Cut and Paste
  • Copy
  • Page Size and Margin
  • Search and Replace
  • Word Wrap
  • Printing

 

Q.5: What is meant by Insert and Delete text?

Answer:

Insert text means to insert/add anywhere in the document. Delete Text means to remove/delete in a document.

 

Q.6: What is meant by the “Cut and Paste” feature?

Answer:

Text can be moved from one place and inserted elsewhere in the document. Ctrl + X and Ctrl + V are the shortcut keys that can be used for cut and paste respectively.  

 

Q.7: What is meant by the “Copy” feature?

Answer:

Text can be copied and pasted anywhere in the document. Ctrl + C is used for copying the text.

 

Q.8: What is meant by the “Page Size and Margin” feature?

Answer:

The text editor allows you to define various page sizes and margins and word processor will automatically readjust the text so that it fits properly.

 

Q.9: What is meant by the “Search and Replace” feature?

Answer:

Text editor provides a Search and Replace command that can be used to find a string of text. The found text can be replaced with new text. Ctrl + F and Ctrl + H are the shortcut keys used for finding and replacing the text respectively.

 

Q.10: What is meant by the “Word Wrap” feature?

Answer:

A text editor moves to the next line when one line is filled with text. Text in a document also readjusts if page margins are changed.

Answer:

These are the tools for searching files on the disks, keeping a record of document revisions, and copying, pasting, deleting files.

Answer:

This feature allows users to specify typeface, size, and characteristics of text within a document. Thus, any font size can be specified. Text can be made italic, bold, and underline, etc.

This feature allows users to automatically add footnotes in a document and add cross-references.

This feature allows users to merge text from one file to another file. This feature is helpful in generating mailing labels.

 

Q.19: Define the term “Spell Check”?

Answer:

Advanced word processors include dictionaries. The spell-check utility uses this dictionary to check spellings in a document. F7 is the shortcut key used for spell check.

This feature allows users to automatically generate a table of contents and indexes. This feature is very helpful in writing reports and books.

This feature allows users to find out the synonyms (similar meanings) and antonyms (opposite meanings) of words without leaving the word processor.

This feature allows users to open two or more documents at the same time. Each document appears in a separate window.

 

Q.23: Define the term “WYSIWYG”?

Answer:

WYSIWYG stands for What You See Is What You Get. This means that a document appears in the word processor window exactly as it would be printed.

Answer:

The word processor’s interface consists of the main editing window that displays a document, and several tools to manipulate it. The tools, to work with the document, are grouped together in different toolbars.

 

Q.25: What is the Title bar?

Answer:

The title bar displays the name of the active application and the name of the document along the top of a window.

 

Q.26: Differentiate between Menu and Dropdown Menu?

Answer:

The menu bar contains drop-down menus. The drop-down menus contain all the commands that are available in a word processor.

 

Q.27: What is a toolbar?

Answer:

A toolbar is a collection of icons representing the most commonly used commands. Clicking an icon on the toolbar executes the command.

 

Q.28: Differentiate between standard toolbar and formatting toolbar?

Answer:

Standard Toolbar contains buttons and icons for most common word processing tasks such as opening, copying, and printing of files, etc. whereas Formatting Toolbar contains buttons and icons for formatting commands such as bold, italic, and underline of text.

 

Q.29: What is the Status bar?

Answer:

The status bar shows information at the bottom of the window that provides statistics about the position of the insertion point, the text you see on the screen, and the status of some important keys.

 

Q.30: What is a cursor?

Answer:

A cursor is a blinking insertion point that represents the position where the next character will be placed in the document.

 

Q.31: Differentiate between Insertion Mode and Overtype Mode?

Answer:

In insertion mode the newly entered text is placed at the current position of the cursor whereas in case overtype mode the newly entered text is written over the existing text.

 

Q.32: Differentiate between Undo and Redo?

Answer:

The command that is used to cancel action is called Undo command. Each time the undo command is executed, the last action is canceled. Ctrl + Z shortcut key is used for Undo command. The command that is used to cancel and Undo command is called Redo command. Ctrl + Y shortcut key is used for the Redo command.

 

Q.33: What is meant by Formatting?

Answer:

The formatting of a document includes changing the appearance of the text, adding pictures and graphics, and controlling the layout of the text on the page. The formatting toolbar is used to format the text.

 

Q.34: What is formatting fonts?

Answer:

The font refers to the characteristics of letters, symbols, and punctuation marks in the document. Same characters in different fonts have a different appearance. There are two general categories of fonts:

  • Serif
  • Sans Serif

Select Format|Font from the menu bar to format the font.

 

Q.35: Differentiate between Serif and Sans Serif fonts?

Answer:

Serif fonts have curls or extra decorative lines at the ends of the strokes that make up each character e.g., Times New Roman whereas Sans Serif fonts do not have e.g. Arial.

 

Q.36: Differentiate between Superscript and Subscript?

Answer:

Superscript: Text is raised and its font size is reduced. For example, in `10^2`, 2 is superscript. Ctrl + Shift + = shortcut key used for superscript.

Subscript: Text is lowered and its font size is reduced. For example, in `10_2`, 2 is a subscript. Ctrl + = shortcut key used for subscript.

 

Q.37: Differentiate between Emboss Text and Engrave Text?

Answer:

Using Emboss, text appears as raised on the screen of paper whereas using Engrave, text appears to be carved or etched into the page.

 

Q.38: Differentiate between First Line Indent and Hanging Indent?

Answer:

First Line Indent is the distance between the first line of the paragraph and the left margin. In Hanging Indent, the first line of the paragraph is not indented and all other lines start at some distance from the margin.

 

Q.39: What is Paragraph Formatting?

Answer:

Paragraph formatting includes settings applied only to one or more entire paragraphs. The settings include line spacing, paragraph spacing, indents, alignment, tab stops, borders, and shadings, etc. Select Format|Paragraph from the menu bar to format a paragraph.

 

Q.40: What is alignment?

Answer:

Alignment refers to the orientation of the lines of a paragraph with respect to the margins. There are four types of alignments in a paragraph. These are:

  • Left Alignment (Ctrl + L)
  • Right Alignment (Ctrl + R)
  • Center Alignment (Ctrl + E)
  • Justified Alignment (Ctrl + J)

 

Q.41: What are Indents?

Answer:

Indents determine the distance of each line of a paragraph to margins. You can set indents so they affect every line of text or a single line in a paragraph. Ctrl + M shortcut key indents an entire paragraph and Ctrl + Shift + M shortcut key removes an indent for an entire paragraph.

 

Q.42: What is meant by Tab Stop?

Answer:

A Tab Stop is a position in the document usually measured from left to right. The keyboard’s Tab key moves the insertion point forward, to the right, until it encounters a Tab Stop.

 

Q.43: What is Page Formatting?

Answer:

The settings of output page when it is printed on a printer are called Page formatting. These include page size, page orientation, page margins, and headers and footers.

 

Q.44: What is Page Size? Describe the dimensions of different pages.

Answer:

The length and the breadth of the page on which content is printed is called the size of the page. The page size of a document is defined in the File|Page Setup from the menu bar. Some standard page sizes and their dimensions are as under:

  • Letter                    8.5x11 inches
  • Legal                      8.5x14 inches
  • A4                           8.27x11.69 inches
  • Executive            7.25x10.5 inches
  • Custom Size       Any dimensions can be given

 

Q.45: What are Header and Footer?

Answer:

Header is the information that is printed in the top margin of the page whereas Footer is the information that is printed in the bottom margin of the page. Select View|Header and Footer from the menu bar to apply header and footer feature.

 

Q.46: Define Page Orientation?

Answer:

Document dimensions are also determined by the orientation of the paper. There are two types of page orientation:

  • Portrait
  • Landscape

 

Q.47: Differentiate between Portrait Orientation and Landscape Orientation?

Answer:

Portrait orientation where the document is taller than it is wide. Landscape orientation where the document is wider than it is tall. By default, the documents are set to use portrait orientation.  

 

Q.48: Define Columns?

Answer:

Columns are used to arrange text or other information in parallel vertical strips. It is like the arrangement of text in a newspaper. Select Format|Columns from the menu bar to apply this feature.

 

Q.49: What is Page Numbers?

Answer:

The page numbers can be added automatically in a Word document. Page numbers appear in the header or footer that is at the top or bottom of the page. Select Insert|Page Number from the menu bar to insert page number in the document.

 

Q.50: What is Table?

Answer:

A table is made up of rows and columns of cells. Information is written in the cells. These are used in a document to organize information into rows and columns. Select Table|Insert|Table from the menu bar to insert a table in the document.

 

Q.51: Differentiate between Four-Sided Moving Handle and Resizing Box?

Answer:

Both will appear on the corners of the table if the mouse is placed over the table. Click and drag the four-sided arrow to move the table and release the mouse button when the table is positioned where you want it. Click and drag the Resizing Box handle to resize the table.

 

Q.52: What is meant by “Printing a Document”?

Answer:

Once you have completed your document, you have the ability to print it out. Select File|Print from the menu bar for printing the document. Ctrl + P shortcut key can also be used for printing the document.

 

Q.53: What is a Text box?

Answer:

A text box is used to add a piece of text at any place in a document. For example, a textbox may be used to add text in the margins of a page. Select Insert|Text Box to insert text box in the document.

 

Q.54: Differentiate between Bitmap graphics and Vector graphics?

Answer:

Bitmap graphics are made up of pixels. These can be thought of as painted pictures. Vector graphics are made up of lines and curves. These can be thought of as drawings.

 

Q.55: What is WordArt?

Answer:

WordArt is used to turn ordinary words into graphics objects. It can convert text into a variety of shapes, stretch letters, rotate words, add shading, colors, borders, and shadow to text. Select Insert|Picture|WordArt from the menu bar to use this feature.

 

Q.56: Why AutoShapes Toolbar is used?

Answer:

The AutoShapes toolbar will allow you to draw many different geometrical shapes, arrows, flowcharts symbols, stars, and banners in the document.
